Privacy policy
What personal data this site handles, why, for how long, and what you can do about it.
1. Who we are
Be Cool News (becool.uk.com) is published by Be Cool Group UK Ltd, trading as Be Cool Refrigeration. We are the controller of the personal data described in this policy under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
- Registered name: Be Cool Group UK Ltd, company number 13901261, registered in England and Wales
- Registered office: Office 7, 35-37 Ludgate Hill, London EC4M 7JN
- Privacy contact: [email protected] (please put "Privacy" in the subject line)
We have not appointed a data protection officer, because the law does not require one for an organisation of our size and activity. Questions about this policy go to the address above.
2. The short version
- There are no forms, accounts, comments or newsletters for readers on this site.
- We only use analytics cookies if you press Accept. If you reject or ignore the banner, no analytics cookies are set and no analytics data is sent.
- We do not sell personal data, and we do not use it for advertising or profiling.
- If you email us, we use your message to reply and keep it only as long as we need to.
3. What we collect and why
| Data | Why we use it | Lawful basis (UK GDPR Article 6) | How long we keep it |
|---|---|---|---|
| Technical data every website receives: IP address, browser and device type, the page requested, date and time | To deliver pages, keep the site secure, stop abuse and fix faults | Legitimate interests (running a secure website) | Held in our hosting and security providers' logs for a short period, normally days and no more than a few weeks |
| Analytics data, only after you accept: pages viewed, how you arrived, approximate location (town or country), device and browser, and whether you clicked through to Be Cool Refrigeration or tapped the phone number | To understand which articles are useful and improve the site | Consent, which you can withdraw at any time | No longer than 14 months in Google Analytics. See our analytics policy |
| Your cookie choice, stored in your browser | To remember whether you accepted or rejected analytics, so we do not ask on every page | Legitimate interests (strictly necessary storage under PECR) | Until you clear your browser storage or change your choice |
| Emails you send us: your name, email address, what you write and anything you attach | To reply, correct an article, or deal with a complaint or a data request | Legitimate interests (answering correspondence); legal obligation where it is a data protection request | As long as we need to deal with it and keep a record, normally no longer than two years after the matter is closed |
| Staff accounts for the admin area: name, work email, a scrambled (hashed) password, sign-in cookie | To let our team publish and edit articles securely | Legitimate interests and the employment relationship | While the person works on the site, then deleted |
We do not collect special category data (such as health information), and the site is not aimed at children.
4. Where the data comes from
Directly from you, or from your browser when you visit. We do not buy data or combine it with data from other sources.
5. Who we share it with
We use these service providers to run the site. They act as processors on our behalf under written terms, and may only use the data to provide their service to us:
- Render Services, Inc.: hosts the website (servers in Frankfurt, Germany).
- Cloudflare, Inc.: delivers the site, protects it against attacks and routes email sent to our @becool.uk.com address.
- Turso (ChiselStrike, Inc.): hosts the database that stores articles and staff accounts (servers in Ireland). It holds no reader data.
- Google: Google Tag Manager and Google Analytics 4, only after you accept analytics cookies.
Author photos may load from Be Cool Refrigeration's own image server. Fonts are served from this site, not from Google Fonts. We may also disclose data if the law requires it, for example to the police or a regulator with a valid request, or to professional advisers under a duty of confidence.
6. International transfers
Some of these providers are based in the United States or may process data there. Where data leaves the UK, we rely on the UK Extension to the EU-US Data Privacy Framework (the UK-US data bridge) for providers certified under it, or on the International Data Transfer Addendum to the European Commission's standard contractual clauses, as permitted by the UK GDPR. You can ask us for details of the safeguard for a particular provider.
7. How we protect it
The site is served only over HTTPS. The admin area needs a password, sign-in attempts are rate limited, passwords are stored only as hashes, and access is limited to the staff who need it. No security is perfect, but we review it when the site changes.
8. Your rights
Under UK data protection law you have the right to:
- be told how we use your data (this policy)
- get a copy of the personal data we hold about you
- have inaccurate data corrected
- have your data deleted in some circumstances
- restrict how we use it in some circumstances
- object to our use of it where we rely on legitimate interests
- receive data you gave us in a portable format, where we rely on consent
- withdraw your consent at any time, without affecting what we did before you withdrew it
To use any of these rights, email [email protected]. There is no charge in most cases. We will reply within one month, and tell you if we need longer because the request is complex. We may ask you to confirm your identity first. Most analytics data is not linked to a name, so we may not be able to find records for you unless you can give us your Google Analytics identifier.
You can change your cookie choice at any time: .
9. Automated decisions
We do not make decisions about you by automated means that have legal or similarly significant effects.
10. Complaints
Please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection: website ico.org.uk, helpline 0303 123 1113.
11. Changes to this policy
We will update this page when the way we handle data changes, and change the date below. Related pages: cookie policy, analytics policy and editorial policy.
